Setting up a Waypoint screen
Turn any wall-mounted TV or tablet into a live wayfinding screen showing today's floor plan, who is sitting where and how many desks are free.
What you need
- A Premium or Enterprise Team Today plan (Waypoint is also available during a free trial).
- A Company Admin login to switch the feature on and approve screens.
- An office with at least one floor plan. See Setting up an office if you have not created one yet.
- A screen with a web browser and an internet connection. A smart TV browser, a small PC or media stick plugged into a TV, or a tablet all work. Screens can be mounted in portrait or landscape.
Step 1: Switch on Waypoint screens
- Log in as a Company Admin and open Company settings.
- Choose the Other tab from the menu on the left.
- Turn on "Enable Waypoint screens".
- Choose a Name display option. This controls how people are labelled on the screen:
- Full names shows each person's name on their desk and enables the "Find a colleague" search on the screen.
- Initials only shows initials on booked desks.
- Reserved only shows which desks are taken without identifying anyone.
- Decide whether to "Show first aiders and fire wardens". When on, the screen lists today's in-office first aiders and fire wardens so people know who to find in an emergency. This strip always shows full names, whichever name display you picked, so switch it off if that is not appropriate for your office.
- Save your changes.
Privacy note: the name display setting is applied on our servers before anything is sent to the screen. A screen set to "Initials only" or "Reserved only" never receives full names, so nothing more than you have chosen can be shown, even if someone inspects the screen.
Step 2: Generate a Waypoint code
Each screen is paired with an 8-digit code that you generate in Company settings. The code ties the screen to a particular office; floors are chosen on the screen itself.
- Still in the Other tab, scroll to the Waypoint screens section.
- Select the office the screen will be installed in.
- Optionally add a label such as "Reception TV" or "Third floor lift lobby" so you can tell your screens apart later.
- Tap "Generate code". The 8-digit code appears in the list along with a "Copy link" button for the screen address.
Generate a separate code for each screen. Codes are valid for 24 hours by default, so generate one when you are ready to set the screen up.
Step 3: Open Team Today on the screen
- On the screen, open a web browser and go to app.team-today.com/signage. Use the browser's fullscreen or kiosk mode so the address bar and tabs are hidden.
- The screen shows "Pair this screen" with a keypad.
- Enter the 8-digit Waypoint code from Step 2.
- The screen changes to "Waiting for approval". Leave it on this page and go back to Company settings on your own device.
Step 4: Approve the screen
- In Company settings > Other, a "Pending Waypoint pairing requests" panel appears within a few seconds. It shows the code, the label you gave it, the office and the network address the request came from.
- Check the details match the screen you are setting up, then tap "Approve". Tap "Reject" if you do not recognise the request.
- The screen loads the floor plan straight away and stays paired from then on, including after a reboot.
Pairing requests expire after 5 minutes. If the screen shows "Request expired", tap "Try again" on the screen and re-enter the code.
What people see on the screen
- Top bar: your company logo, the office name, and today's date and time.
- Floor plan: a live map of the current floor showing which desks are booked and by whom (subject to your name display setting), plus areas and meeting rooms. Before midday the screen shows morning bookings and after midday it shows afternoon bookings.
- Floor switcher: if the office has more than one floor, a menu in the corner lets people switch between them. The screen remembers the last floor chosen, so a screen by the third floor lifts can be left on the third floor.
- Find a colleague: with "Full names" switched on, people can type a name and the map zooms to that person's desk.
- Desks available: a count of free desks on the current floor so people can see at a glance whether there is space.
- First aiders and fire wardens: when enabled, two pills at the top of the map list today's role holders on this floor. Tapping a pill highlights their desks and expands a list for the whole building.
The screen refreshes itself every minute, so bookings and check-ins appear without anyone touching it, and it reloads fully overnight. If it loses its connection you will see a "Last updated" time in the corner until it reconnects.
Removing or moving a screen
- To unpair a screen, go to Company settings > Other > Waypoint screens and tap "Revoke" next to its code. Any screen paired with that code returns to the "Pair this screen" keypad.
- To move a screen to another office, revoke its code, generate a new code for the new office and pair it again.
- To switch off all screens, turn off "Enable Waypoint screens". Every screen shows a "switched off" message until you turn the setting back on.
Tips for a reliable screen
- Set the browser to launch in fullscreen or kiosk mode when the device starts, so the screen recovers on its own after a power cut.
- Turn off screen sleep and screensavers in the device's settings.
- Give the device a wired connection or a strong Wi-Fi signal. The screen only needs a small amount of data but needs it every minute.
- If the screen says "No floor plans found", add a floor plan to the office in Team Today. See Using the floor plan.
