Letting colleagues join by email domain

Let people at your company join your account without an invite.

When domain-based sign-up is on, anyone who creates a Team Today account with an email address on one of your linked domains is added to your company straight away. Nobody has to invite them. It is the quickest way to roll Team Today out across a whole company: tell people about it and let them sign up.

You can link as many of your company's email domains as you need, for example a main domain, regional domains and the domains of subsidiaries. This feature is available on every plan.

How to turn it on

  1. Go to Settings > Company Settings and open the Sign Up and Register section. You need to be a Company Admin.
  2. Turn on the Link domain name switch. The first time you do this, the domain of your own email address is added to the list for you and marked Pending approval.
  3. Under Linked domains, type any other domain your company uses, for example yourcompany.co.uk, and tap Add domain.
  4. Each domain appears in the list marked Pending approval until the Team Today team has checked it.

Approval

Because an approved domain lets people join your account without an invite, each domain is checked by the Team Today team before it takes effect. We confirm the domain belongs to your company, usually by checking it against the email addresses already in your account. This normally happens within one working day. Once approved, the domain shows as Active and new sign-ups on it join your account automatically.

If we cannot confirm your company owns a domain it is marked Not approved. Contact support@team-today.com if you think that is a mistake.

What happens when someone joins this way

  • They are added to your company as a regular user with no team. A Company Admin or Team Admin can move them into the right team from Manage Users. See Managing users with no team.
  • Invites still work exactly as before, for any email address, including ones on domains you have not linked. See Inviting new team members.
  • Anyone you have already invited joins through their invite, whatever their domain.

A few things to know

  • A domain can only be linked to one company. If your domain is already linked to another account, contact support and we will sort it out.
  • Public email providers such as gmail.com or outlook.com cannot be linked.
  • You can link up to 20 domains.
  • Turning the switch off keeps your domains in the list but stops them auto-joining anyone. Turning it back on does not need a fresh approval.
  • Removing a domain takes effect immediately.
  • To also stop people on your domains from creating a separate account by mistake, pair this with Locking your email domains. The two work well together: colleagues join your account, and nobody ends up with a duplicate one.
