Locking your email domains

Keep everyone at your company in one Team Today account.

When Team Today spreads through a company by word of mouth, it is easy for someone to create a fresh account rather than joining the one that already exists. That leaves you with two accounts, two sets of teams and two bills. Locking your email domains stops that happening.

Once one of your domains is active, anyone who tries to sign up with an email address on that domain sees the message "Your company already has an account, speak to another user for an invite" instead of a new account being created.

This feature is available on every plan.

What still works as normal

  • Invites. Anyone you invite from Manage Users joins your account as usual, whatever their email domain. See Inviting new team members.
  • Domain-based sign up. If you have turned on domain-based sign up, people on your linked domains still join your account automatically. The restriction only applies when nobody has invited them and there is no automatic join to fall back on.
  • Microsoft tenant sign up. Tenant-based sign up for Microsoft 365 accounts is unaffected.
  • Logging in. Existing users can log in as normal.

How to add a domain

  1. Go to Settings > Company Settings and open the Sign Up and Register section. You need to be a Company Admin.
  2. Under Locked domains, type your domain, for example yourcompany.com, and tap Add domain.
  3. The domain appears in the list marked Pending approval.
  4. Add any other domains your company uses, such as regional domains or a domain used by a subsidiary.

Approval

Because this setting stops other people creating accounts, each domain is checked by the Team Today team before it takes effect. We confirm the domain belongs to your company, usually by checking it against the email addresses already in your account. This normally happens within one working day. Once approved, the domain shows as Active and new sign-ups on it are blocked.

If we cannot confirm your company owns a domain it is marked Not approved. Contact support@team-today.com if you think that is a mistake.

A few things to know

  • A domain can only be registered by one company. If your domain is already registered to another account, contact support and we will sort it out.
  • Public email providers such as gmail.com or outlook.com cannot be added.
  • You can add up to 20 domains.
  • Removing a domain takes effect immediately. People on that domain can create a new account again.

What a blocked person sees

Someone trying to sign up with a locked domain sees a short message explaining that their company already has a Team Today account and that they should ask a colleague for an invite. Nothing is created and no email is sent, so the quickest way to get them in is for a Company Admin or Team Admin to send them an invite.
