Enabling auto carry over for holidays

Last updated

Who can do this: Company admins. Plan: All plans.

Leave doesn't carry over by itself. Once a year, after your new leave year has started, a Company admin runs Rollover. It works out each person's unused holiday from the previous leave year (their total allowance minus the holiday they booked), limits it to your Maximum carry over, and puts that number into their + Carried Over days for the new leave year.

Turn on carry over in Leave settings

  1. Go to Settings (the Management tab in the Teams app) and open Leave settings.
  2. Make sure Enable holiday tracking and Holiday allowance are on. The carry over settings only appear under Holiday allowance.
  3. Check the Default number of holidays is at least 1. Rollover won't update anyone's allowance without it.
  4. Turn on Enable auto carry over.
  5. Enter the Maximum carry over: the most days anyone can carry into the new leave year.
  6. Optional: turn on Add expiry rules and choose the day and month under Carry over expires on (for example, 1 April). Read how expiry works below before you rely on it.

Run the rollover once a year

Holiday carry over report listing each person's unused allowance and the days to carry over
You can preview how many days can be carried over for each user
  1. Wait until the new leave year has started.
  2. Go to the Leave Planner, open Reports and tap Edit Holiday Allowance on the right. You can also tap Edit Individual Holiday Allowances in Leave settings.
  3. On the Leave Allowance page, tap Go to Holiday Rollover at the top. This button only shows when Enable auto carry over is on.
  4. The Holiday carry over report opens. Check the year at the top is your new leave year, and wait for every row to finish loading. This can take several minutes.
  5. Review each person's Unused allowance and Days to carry over. To change one person's allowance, select their name.
  6. Tap Rollover at the bottom of the report, then Yes, roll over leave.
  7. Keep the page open while it runs. A tick appears in the Updated column as each person's allowance is updated.

Run Rollover once for each leave year. If you need to change someone's carried-over days afterwards, edit their + Carried Over days on the Leave Allowance page.

How expiry works

  • The expiry date is for information and reporting only. Team Today doesn't remove unused carried-over days when the date passes.
  • The expiry date shows on the Holiday carry over report, and next to carried-over days in each person's leave breakdown on My Leave.
  • To see who still had carried-over days left at the expiry date, tap View report on the Holiday carry over report. The Holiday expiry report shows how many days each person had used by the expiry date. It doesn't change any allowances.
  • After the expiry date, reduce + Carried Over by hand on the Leave Allowance page for anyone who didn't use their carried-over days in time.
