Creating line managers for holiday authorisation
Last updated
Who can do this: Company admins and Department admins. Plan: All plans.
Line managers approve or decline leave requests from their line reports.
Getting set up
Line managers approve holiday requests, and requests for any other leave type that needs approval. Before you add line managers, make sure holiday tracking is set up. You can read how to do that here.
The Line reports section only appears when line managers are turned on. Turning on Approvals in Leave settings does this for you. You can also use the Enable line managers switch in Company settings.
To add line reports:
- Go to Settings (the Management tab in the Teams app) and open Manage current users.
- Find the person who will be the line manager and tap the edit pencil next to their name.
- On the Edit user page, scroll down to Line reports.
- Tap Add new line report, then choose the people who report to them in Select line reports.
- Add as many as you need. To remove someone, tap the bin icon next to their name.
When a line report books leave that needs approval, their line manager can approve or decline it. If Approval notifications is on in Leave settings, the line report's direct line managers are also emailed about each new request. Managers further up the reporting line can approve requests from indirect line reports, but they aren't emailed about them.
If you use SCIM user provisioning: when Microsoft Entra ID sends a manager for someone, Team Today replaces that person's line managers with the manager from Entra ID. Line managers you add by hand can be replaced on the next sync, so set managers in Entra ID instead. See SCIM users with no team, job title or line manager.
How line managers authorise or decline leave
- Once logged in, a line manager can go to the Leave Planner.
- They can hover over a pending holiday for one of their direct line reports in the planner, then tap Approve or Decline.
- Or they can open the Approvals tab, choose Line reports or Indirect line reports in the drop-down at the top right, and tap Approve or Decline on each request.
- If Approval notifications is on, people are emailed when their leave is approved, declined or cancelled.
