Using holidays

Who can do this: Company admins. Plan: All plans.

Team Today can manage your company's leave, or give teams a simple view of who is off and when. This guide covers turning it on and setting it up in Leave settings.

How to set up leave for your company

  1. Log in to Team Today on the website or in the Microsoft Teams app.
  2. Go to Settings on the website, or the Management tab in the Teams app.
  3. Open Leave settings.
  4. Turn on Enable holiday tracking. The rest of the leave settings appear once it is on.

Adding a holiday allowance

  1. Under Leave Year, choose when your leave year starts: "First day in" or "First Monday in", and the month.
  2. Turn on Holiday allowance and enter the Default number of holidays. Everyone gets this allowance unless you give them a different one.
  3. To give someone a different allowance, tap Edit Individual Holiday Allowances. This opens the Leave Allowance page, where you can set each person's allowance for the current and next leave year. See Adding and editing holiday allowances.
  4. Each person can then see how much holiday they have taken and how much is left for the leave year.

You can also open one person's allowance from their page in Manage current users, with Edit Individual Holiday Allowances.

Adding holiday authorisation

You can also make leave requests need approval. These people can then approve or decline a request:

  • Company admins, for anyone in the company.
  • Line managers, for their direct and indirect line reports.
  • Team admins, for Standard users in their own team.

How to set up holiday authorisation

  1. In Leave settings, check the Leave Year matches your company's leave year.
  2. Turn on Holiday allowance if you want to track allowances.
  3. Turn on Approvals. This also turns on line managers and Block users editing past whereabouts.
  4. Turn on Approval notifications, which appears once Approvals is on. New requests are then emailed to the requester's direct line managers, and people are emailed when their request is approved or declined. Nobody is emailed about a request from someone with no line manager, so Company admins should check the Approvals tab in the Leave Planner.
  5. Decide whether to keep Cancellation notifications on. It appears once Approval notifications is on. When it is on, people's direct line managers are emailed when they cancel their own approved leave.
  6. Add line managers on each person's page in Manage current users. See Creating line managers for holiday authorisation.

How people book leave

Once holiday tracking is on, people can book leave in the Leave Planner with Add a leave request, or by choosing Holiday for a day in their whereabouts. Leave is booked in whole days or half days (AM or PM).
