Editing a meeting room

Last updated

Who can do this: Company admins. Plan: Professional, Premium and Enterprise.

Change a meeting room's details, link it to Outlook or delete it.

How to edit a room

To rename a meeting room or change how it is set up:

  1. Log in: Open Team Today in your browser or the Microsoft Teams app.
  2. Go to the office: Go to Settings > Offices and meeting rooms and select the office.
  3. Open meeting rooms: Select Meeting Rooms in the left-hand menu.
  4. Edit the room: Select Edit on the room, then change the Meeting room name, Capacity, Office or Facilities.
  5. Save: Select Update to save your changes.

Adding or changing the Outlook link

  1. Open the room with Edit, as above.
  2. Link email: In Outlook meeting room email address, choose the room from the list or type its email address. The list of rooms appears if you sign in with Microsoft.
  3. Save: Select Update.

Once linked, any meeting booked in Outlook shows the room as "Busy" in Team Today. People need their calendar sync to be active to book the room in Team Today.

Note: Linking a room does not create a mailbox in Outlook. Your IT admin must set up the Outlook room separately in the Microsoft 365 admin centre.

To show the full details of Outlook bookings, an IT admin can give Team Today wider calendar access. See Setting up meeting rooms.

Deleting a meeting room

  1. Open the room with Edit, as above.
  2. Select Delete meeting room.
  3. Select Yes, delete this meeting room to confirm, or No, keep this meeting room to go back.

Office admins can also delete meeting rooms.
