Hospitality Management
You can now manage catering and hospitality requests directly within your meeting room bookings.
How it works
Adding hospitality allows you to offer custom menu options—such as refreshments or catering packages—to meeting organizers. Team Admins can configure these menus and set up automated workflows to notify your canteen or facilities team when a new request is made.
Prerequisite: You must have at least one meeting room configured in Team Today before enabling hospitality.
Enabling Hospitality
This assumes you have already created an office and at least one meeting room.
- Login: Access the team-today.com web portal or the MS Teams app.
- Edit Office: Go to Settings > Offices, Desk Booking, and Meeting Rooms. Click on your Office Name to edit its settings.
- Enable Feature: Select Hospitality from the left-hand menu and toggle the feature to Enabled.
- Build Your Menu: Add individual menu items with pricing and any "Important Notes" (e.g., "Must be ordered 24 hours in advance").
- Notifications: Add the email addresses of the people responsible for fulfillment (e.g., the catering manager) to ensure they receive instant alerts for new requests.
- Save: Tap Save Changes to confirm your menu.
User Flexibility: When booking, users can also request unlisted items or specify dietary requirements. They can also set a preferred delivery time (the default is the meeting start time).
Making a Hospitality Booking
- Navigate to the Meeting Room tab at the top of the screen.
- Ensure you have selected an office where Hospitality is enabled.
- Start Booking: Choose an available time slot and click to enter your meeting details.
- Configure:
- Attendees: Add guests or change the "Host" if booking for someone else.
- Hospitality Tab: Select the Hospitality tab within the booking panel.
- Add Items: Click Choose from Menu to select your items.
- Special Instructions: Use the instructions field to enter cost codes or specific delivery notes.
- Confirm: Tap Confirm Booking.
Managing Orders
Once confirmed, the meeting is booked and a hospitality order is generated.
- Alerts: The designated team members will be notified immediately.
- Order Tracking: Hospitality details are not added to the body of the Outlook calendar invite. Instead, they are captured and managed within the Hospitality sub-tab located under the main Meeting Room tab.
